Job Description

Overview The Grants and Administrative Manager is responsible for overseeing grant-related activities and administrative functions to support organizational efficiency. This role includes managing grant proposals, maintaining administrative systems, and ensuring compliance with funding requirements. The individual serves as a key liaison between internal departments and external stakeholders to facilitate organizational operations and fundraising efforts. Responsibilities

  1. Prepares and coordinates grant proposals for government agencies, private foundations, and corporate funders.
  2. Tracks all gifts and grants by source and purpose, providing necessary reports.
  3. Develops and maintains resource database files for key funding prospects.
  4. Ensures compliance with grant requirements, including tracking expenditures and reporting outcomes.
  5. Manages administrative systems and resources to support fundraising and development initiatives.
  6. Establishes and monitors departmental budgets related to grants and administrative functions.
  7. Develops policies and procedures to streamline administrative processes.
  8. Coordinates board meetings, prepares agendas, and maintains meeting records.
  9. Assists in planning and coordinating community events and fundraising activities.
  10. Supports the preparation of annual reports, newsletters, and fundraising materials.
  11. Represents the organization in meetings and events as requested by the CEO.
  12. Researches potential grant opportunities and aligns funding strategies with organizational priorities.
  13. Builds and maintains relationships with funders, ensuring effective communication and compliance.
  14. Works with finance teams to oversee grant-related financial tracking, budgeting, and expenditure monitoring.
  15. Evaluates grant-funded programs to assess effectiveness and adherence to funding requirements.
  16. Trains and assists staff in understanding grant guide
  17. Performs other administrative duties as assigned.
Qualifications Required:
  1. Bachelor's degree in business administration, nonprofit management, or a related field.
  2. Experience in grant writing, fundraising, or administrative management.
  3. Strong organizational and project management skills.
  4. Excellent written and verbal communication abilities.
  5. Proficiency in Microsoft Office Suite and database management.
Preferred:
  1. Bachelor's degree in business administration, nonprofit management, or a related field.
  2. Certified Grant Writer (CGW) or Grant Professional Certified (GPC).
  3. Certified Fund Raising Executive (CFRE) or equivalent credential.
  4. Certified Fund Raising Executive (CFRE) or equivalent credential.
  5. Experience working in nonprofit organizations or fundraising environments.
  6. Ability to coordinate with diverse stakeholders, including community leaders and funders.
  7. Knowledge of financial management related to grants, including budgeting and compliance monitoring.
