Job Description

Boys & Girls Clubs of Metro Atlanta seeks a precise, dynamic, highly motivated, and team-oriented candidate to fill the immediate job opening for a Government Grants Manager. The Government Grants Manager will be responsible for administrative support around the application process, management, and reporting of grants and contracts activities originating from government funders. The successful candidate will oversee invoicing, accounting, reporting, and other administrative functions to ensure the efficient and effective execution of grants and contracts. This hands-on role requires a detail-oriented, self-motivated manager with strong analytical skills who can effectively support grant administration and contracting operations. The Government Grants Manager will collaborate closely with the Resource Development Department, Finance Department, Programs and Operations (PROPS) Department, and Club staff.

ESSENTIAL JOB FUNCTIONS AND ACCOUNTABILITIES

Grants Management Systems and Overall Support Collaborate with the Grant Compliance team to utilize a comprehensive system for tracking grants and contracts, including appropriate tracking and accounting procedures. Maintain accurate and complete copies of grant and contract files. Interpret and communicate the requirements of awarded grants and contracts to relevant parties. Keep staff informed about roles, responsibilities, deadlines, and deliverables related to grants and contracts, ensuring thorough follow-through. Assist in developing new grants and contracts, ensuring compliance with policies and resource needs. Extract data from the membership tracking system to create and distribute monthly reports and track data trends within the organization. Support the continuous improvement of systems for grant tracking and compliance with government-funded programs. Provide training on grants management and reporting requirements to BGCMA staff as needed. Support the PROPS Department's training efforts to ensure a clear understanding of roles and responsibilities related to current grants and contracts. Maintain strong working relationships with funding source monitors for specified grants Financial Reporting Collaborate with Finance Department staff to manage the processing and tracking of revenue and expenses for grants and contracts, ensuring proper fund accounting. Establish or maintain financial controls and systems, assigning Grant and Detail codes as needed. Provide financial information from the general ledger and payroll systems to support budget development for grant applications and fulfill financial reporting requirements. Maintain a grant allocation control document mapping all active and pending grants to the corresponding cost centers and functional expenses. Ensure budgeted and charged costs to federal grants comply with allowable cost regulations and prevent duplication of expenses for restricted funding sources. Ensure accurate month-end and/or grant-end reconciliations for all grant and contract-supported programs, meeting financial obligations. Complete periodic and final financial reporting for all grants, ensuring compliance with reporting timelines and accuracy of funder reports. Make recommendations for budget revisions as needed. Act as the liaison with specified agencies for reporting, invoicing, and collections activities. Program Reporting Extract and compile information from diverse sources to meet periodic and end-of-grant program reporting requirements for specified grants. Review, revise, collaborate, and/or write narrative reports as needed for specified grants. Other Reporting and Compliance Responsibilities Provide membership census information, program participation, and outcome data from the membership tracking database for grant applications, donor presentations, and program reports in collaboration with the Senior Director of Strategic Learning. Prepare information for grant applications for specified government-funded grants, working with the PROPS Department staff to determine program deliverables and resource needs. Assist the Finance and PROPS Departments during Club sites' membership file audits to ensure organizational and grant compliance. Serve as a key contact for internal and external auditors regarding grants and contracts, ensuring full communication of grant compliance procedures.

EDUCATIONAL QUALIFICATIONS AND SKILLS:

Education Bachelor's degree in Business, Finance, Non-Profit Management, Social Services, or a related field. Skills Proficiency in administering, evaluating, or managing government grants, including applying federal and state government requirements to different circumstances. Comprehensive understanding of the organization's programs. Strong project management skills with the ability to manage projects across functional areas Proficiency in Microsoft Office Suite. Experience working with donor management software and automated accounting systems Attributes High standards of ethics and integrity. Strong understanding of effective professional service to internal and external customers. Sound business judgment, strong organizational skills, attention to detail, ability to meet deadlines, strong written and verbal communication skills, and diplomacy.

ENVIRONMENT & WORKING CONDITIONS:

Hybrid internal office environment but requires frequent travel to clubs and off-site meeting locations. Occasional evening work is expected.
